Archiving your swaps on Snail Mail Friends is essential for keeping your dashboard organized and efficient. As you participate in multiple swaps, your swap tracker can quickly fill up, making it harder to identify which swaps are still active and require attention. Archiving completed swaps keeps your dashboard clear and focused, so you can easily see which swaps need action without being distracted by past exchanges. This also helps you stay on top of important updates, ensuring a smooth and manageable experience on Snail Mail Friends.

How to archive a sent swap:

  1. Go to your swap tracker: Open the main menu and select the [Swap Tracker] section. This will display a list of your current swaps.
  2. View your outgoing swaps: In the swap tracker, go to [All sent outgoing swaps]. This section shows all the swaps you’ve sent. Review each swap's status to see which ones are completed.
  3. Click 'read more': For each swap you want to archive, click on 'read more' to open detailed information about that swap.
  4. Select “archive”: If the swap has been marked as received by your partner, an option to "archive" will be available. Click this to move the swap to your archive, cleaning up your dashboard and leaving only unconfirmed swaps visible.
  5. Follow up on unconfirmed swaps: For swaps not yet marked as received, consider following up. Use the available options to send a private message, issue a reminder (available after 45 days—more information here), or select 'Resend' if necessary.

How to archive an incoming swap:

  1. Go to [All incoming swaps]: In the main menu, select the [Swap Tracker] section and navigate to [All incoming swaps].
  2. Open the swap: Locate the incoming swap you want to archive and click "Read more" to view detailed information.
  3. Click the archive button: If the swap has been marked as received, the archive option will be available. Click this button to move the swap to your archive.
  4. If the swap is late: If the system has flagged the swap as late, a "Send a reminder" button will appear. Always send the reminder to prompt your partner to complete the swap.
  5. If the swap is marked as lost: After 60 days, if the swap still hasn’t arrived, it will be marked as lost. At this point, a "Request resend" button will appear, allowing you to request a new swap from your partner.

Regular maintenance: Regularly archiving completed swaps and following up on unconfirmed ones keeps your swap tracker organized. This helps you stay on top of your commitments and maintain a clean, focused dashboard, making it easier to manage ongoing swaps.

Once archived, swaps will no longer appear in your active swaps list, helping you keep your dashboard focused and manageable. You can always revisit archived swaps later if needed, but they’ll stay out of your way as you handle current swaps.
